Notice, Agenda, Recording, Approved Minutes: Four Louisville Meeting Records

A meeting notice, agenda, recording, and approved minutes answer different civic questions. This English-language source card helps Louisville families verify the right record at the right stage.

Direct sources. Clear status. Practical public information.

Reviewed November 5, 2026 · Louisville Metro public-meeting routes · English-language edition with reader-controlled translation available. Louisville Metro is transitioning legislative meeting records from Granicus/Legistar to PrimeGov/Swagit. The Clerk’s current page and policies distinguish several records that appear at different times.

Four records, four questions

Record Question it helps answer Limit
Notice When, where, and how is the meeting announced or accessible? A notice is not the final agenda, proof of attendance, or final action.
Agenda Which items are listed for consideration? A listed item may be amended, tabled, forwarded, or receive no final action.
Recording What public proceeding can a viewer observe? A recording does not replace the approved minutes or prove legal effect by itself.
Approved minutes/action summary What official meeting record was approved? It may not answer every later implementation, contract, payment, or outcome question.

A calm verification sequence

  1. Write the body, committee, meeting date, and record portal.
  2. Save the notice and the final agenda version.
  3. Use the live/recorded route to observe proceedings without treating commentary as final action.
  4. Check the later minutes/action summary and its approval status.
  5. Follow the exact ordinance, resolution, contract, budget, or agency record when the decision continues beyond the meeting.
  6. When the route is unclear during the transition, ask the Clerk or responsible agency for the controlling current record.

Current transition boundary

The current Committee Meetings page says the new site covers meetings from May 11, 2026 forward and identifies an archive for meetings through May 7, 2026. A missing item in one checked portal is therefore an access clue—not proof that the meeting, record, or action does not exist.

Official sources

Verify the current portal, version, date, and approval state before relying on a record.
